How to Sync Your Shortlet Calendar Across Airbnb and Booking.com (Two-Way iCal Guide for Nigerian Hosts)

The short answer: calendar sync has to run in both directions. Each channel gives you a link that exports its bookings, and accepts links that import other people's. Put one calendar in the middle — the place your direct, WhatsApp and agent bookings already live — import Airbnb and Booking.com into it, and paste its export links back into Airbnb and Booking.com. Then every channel sees every busy night. It is not instant: expect a gap of a few hours, which is why the setup details below matter.

Most double bookings we see on Nigerian shortlets are not software failures. They are one-way setups: Airbnb's bookings flow into the host's calendar, but the WhatsApp booking the host took on Friday never flows back out to Airbnb. The fix takes about ten minutes per unit.

How iCal sync actually works

iCal is the shared format every major channel supports. Each one does two things with it:

• Export. It publishes a private link listing the nights a unit is unavailable. Anyone holding the link can read those dates.
• Import. It accepts other links, checks them on a schedule, and blocks those nights on its own calendar.

Two things follow from that, and both catch hosts out:

1. It is polling, not real time. A channel re-reads an imported link every few hours, and none of them promise an exact interval. A booking made at 14:00 may not block the other channel until the next check.
2. It carries busy dates only. No prices, no guest names, no minimum stays. Rates still have to be set on each channel separately.

The setup that works: one calendar in the middle

With two channels you could connect Airbnb and Booking.com directly to each other. That breaks the moment you take a booking anywhere else — a repeat guest on WhatsApp, a corporate client, an agent. Those bookings exist only in your own records, so neither channel ever hears about them.

The fix is a hub: one calendar that holds every booking and talks to each channel in both directions.

Four links per unit. Skip any one of them and there is a direction in which a double booking can still happen.

Setting it up in Nookpal

This is the workflow Nookpal is built around. Everything lives in Settings → Calendar sync, which lists every unit with the state of its links, and the same controls appear in each unit's Sync tab on the property page. Owners and admins can manage links; staff accounts do not see them.

1. Bring Airbnb and Booking.com in

1. In Airbnb, open the listing's availability settings and find the calendar sync section. Copy the export link Airbnb gives you.
2. In Nookpal, open the unit, go to Bring in from other channels, choose Airbnb and paste the link.
3. Do the same with the export link from the Booking.com extranet's calendar sync page.

Imported dates appear on the Nookpal calendar as read-only blocks and are treated as unavailable everywhere — including your free property page, so a guest browsing your direct booking link cannot request a night Airbnb has sold.

2. Send Nookpal's dates out

1. In the same place, under Send to other channels, create an Airbnb link and copy it.
2. In Airbnb's calendar sync section, choose to import or connect another calendar, paste the link, and name it "Nookpal".
3. Create a Booking.com link and add it the same way in the extranet.

Each channel gets its own link on purpose. Airbnb and Booking.com both read your direct bookings and blocks, but each link also carries the dates the other channel sold, so Nookpal is the bridge between them. There is also an Other calendar link for Google Calendar or a co-host's tool.

Menu names on Airbnb and Booking.com change from time to time; if a label above does not match, look for "sync calendars", "import calendar" or "connect calendar" in the listing's availability settings.

What the channels see

Every exported night reads simply "Not available". No guest names, phone numbers, prices or booking references leave Nookpal. The feed covers confirmed, checked-in and checked-out bookings plus maintenance, owner-stay and manual blocks, from yesterday through two years ahead.

Two things are deliberately not sent:

• Quotes and enquiries. A quote you sent on WhatsApp does not close the dates on Airbnb. Dates close when you confirm. If you want to hold nights while a guest decides, add a manual block.
• Turnover cleans. Cleaning never closes a night in Nookpal, so it is not sent to the channels either. A same-day turnover stays bookable, and you do not lose the next check-in to a cleaning window.

Five mistakes that still cause double bookings

1. Pasting a link into the wrong direction. A Nookpal link goes into Airbnb or Booking.com, never back into Nookpal. Nookpal refuses its own links as imports, but channels will happily accept an export pasted where an import belongs.
2. Creating the link and never pasting it. The most common gap by far. Nookpal shows each link's status — "Never read" means the channel has not fetched it yet, so the paste did not happen or did not save.
3. Assuming it is instant. During December or a big Lekki weekend, the few-hour polling gap is real. Keep instant book off on at least one channel in peak periods, or accept the small risk. Our double-bookings playbook covers the process side.
4. Resetting a link and forgetting the channel. If a link has leaked, reset it — the old one stops working immediately. That also means the channel stops receiving your dates until you paste the new one.
5. Leaving a disconnected link behind. If you stop using a channel, delete the link in Nookpal and remove the calendar in the channel, or it will show a sync error there.

When a link goes quiet

A link can stop working without anyone noticing — the listing is duplicated, a co-host removes the connection, a reset never gets pasted. The dangerous part is that nothing looks wrong: your calendar still shows every booking. It is the channel that no longer knows about them.

Nookpal watches for that. If Airbnb or Booking.com has not read a link for more than a day, owners and admins get one alert and a daily email digest naming the unit and channel, with a link to Calendar sync. Each outage alerts once rather than every day.

What about cancellations?

The same polling gap works in reverse. When a Booking.com booking is cancelled, Booking.com updates its own calendar, and Nookpal sees the change on its next read. Until then, the nights stay blocked in Nookpal — the safe default, because a night blocked for a few extra hours costs far less than a night double-sold.

If a guest wants to rebook dates that were just cancelled on another channel, refresh that channel's import in Nookpal to check sooner.

Is iCal enough, or do you need a channel manager?

For most Nigerian hosts — one to fifteen units on Airbnb and Booking.com plus direct bookings — two-way iCal through one hub calendar is enough. A full channel manager with direct API connections narrows the gap from hours to minutes and can push prices, but it costs more and is built for hotels with many identical rooms.
