How to Avoid Double Bookings on Your Lagos Shortlet (Calendar Sync, iCal & Channel Manager Tips)

A practical playbook for Lagos shortlet hosts on stopping double bookings: how iCal sync actually works across Airbnb, Booking.com and Hotels.ng, and which workflows fail in practice.

Double bookings are the single fastest way to torch a Lagos shortlet's review score. The fix is partly software, partly process. This is the version we walk every new host through in their first week on Nookpal.

Why double bookings keep happening

Almost every double booking we have seen on a Lagos or Abuja shortlet traces back to one of four causes:

  • iCal sync delay. Airbnb's iCal feed refreshes every few hours, not in real time. If you are listed on Airbnb and Booking.com without a channel manager between them, a Booking.com guest can grab a date that Airbnb has not yet released — or vice versa.
  • Free-form WhatsApp confirmations. A host replies "those dates are still free" before the calendar is locked. The agent forwards a screenshot. The guest pays a deposit. The actual calendar is then double-touched.
  • Cleaning slots living outside the calendar. If the cleaning window for a Lekki two-bed lives only in the cleaner's WhatsApp group, a same-day turnover gets accidentally booked at noon when the cleaner finishes at 2pm.
  • Shared logins for multiple owners. When two different owners share an Airbnb account "just for now", their inventories overlap on the same calendar without either realising.

How iCal sync actually works (and where it fails)

An iCal feed is a URL each channel publishes that lists the dates a unit is unavailable. Other channels poll that URL on a schedule — typically every 1 to 4 hours — and apply the blocks to their own calendar. That gap between "Booking.com confirmed at 14:02" and "Airbnb's poll at 16:00" is exactly long enough for a second guest to grab the same night.

Two practical implications for Lagos hosts:

  • Pure iCal sync is not enough for high-demand corridors like Lekki Phase 1, Victoria Island or Maitama during festive periods. You need a tool that subscribes to Airbnb webhook updates where available and falls back to iCal where not.
  • Same-day turnovers should always be paired with a cleaning block whose end date is the day of the next check-in, not the day before. End dates should be inclusive, or you will hand the cleaner an impossible slot.

The host-reviewed booking flow

The single most effective process change for avoiding double bookings is moving from instant confirmation to a host-reviewed flow. The guest sends a request to book; the dates only lock when you confirm. Operational checklist

  • Connect every unit's Airbnb and Booking.com iCal feeds, in both directions, before you take a single booking through the new tool.
  • Treat cleaning as a first-class block type. Auto-create it on every checkout, with the end date inclusive.
  • Disable instant book on at least one channel during high-demand windows so you have time to verify.
  • Stop sharing Airbnb logins across owners. Each owner gets their own account; the management tool sits on top.
  • Audit the calendar weekly. Any unit that has more than 90% occupancy for the next 60 days deserves a 10-minute manual sanity check against the channel calendars.

How fast does Airbnb's iCal feed actually refresh?
Airbnb does not guarantee a refresh interval, but in practice it is 1 to 4 hours. That window is long enough to lose a booking on a high-demand Lagos weekend, which is why webhook-aware tools matter more than iCal-only ones.
Can I disable instant book on Airbnb without hurting ranking?
Disabling instant book lowers your search rank slightly on Airbnb but rarely enough to matter for well-located Lagos and Abuja units. Most hosts we work with prefer the small ranking hit to the cost of even one double booking.
